How we collect, use, and protect personal information when you use flywithaero.com or request a charter quote.
1. Who we are
Aero Air Charter, LLC (“Aero,” “we,” “us”) is an FAA Part 135 air carrier based at Pensacola International Airport (KPNS) in Pensacola, Florida. This policy explains how we handle personal information collected through flywithaero.com.

This policy covers our website. Information collected in the course of operating a flight — passenger manifests, identification documents, and other records we are required to create and retain as a certificated air carrier — is governed by our charter agreements and by applicable federal aviation and security regulations.
2. What we collect
Information you give us
- Quote requests. Trip details such as departure and arrival airports, dates, times, passenger count, and any notes you add, together with your name, email address, and phone number.
- Newsletter signups. Your email address, and your name if you provide it.
- Contact messages. Whatever you choose to include when you email us or submit a form — typically your name, contact details, and the substance of your enquiry.
Please do not send us payment card numbers, government identification numbers, or medical information through the website. If we need that information, we will collect it through a secure channel and tell you why.
Information collected automatically
- Technical data — IP address, browser type and version, device type, operating system, and the referring page.
- Usage data — which pages you visit, how long you spend, and which links you follow.
- Approximate location derived from IP address, at city or region level. We do not collect precise GPS location from the website.
3. How we use it

We do not sell your personal information, and we do not use it to make automated decisions that produce legal or similarly significant effects.
4. Quote requests and Avinode
Our online quote tool is provided by Avinode, a charter marketplace platform operated by Avinode Group. When you use it, the trip details and contact information you enter are transmitted to and processed by Avinode in order to generate aircraft options and route your request to our flight department.
Avinode is headquartered in Sweden, so information submitted through the quote tool is processed outside the United States. Avinode processes this information under its own privacy terms in addition to ours. [CONFIRM: link to Avinode privacy notice; confirm a data processing agreement is in place.]
Because the quote tool is a functional part of the service you are asking us to provide, it loads whenever you visit the quote page. If you would rather not use it, you can reach us directly by phone or email instead.
5. Cookies and tracking
A cookie is a small file stored on your device. We use a limited number of them, listed below. We do not show a cookie consent banner: our site is directed to customers in the United States, Canada and the Caribbean, and the analytics we use collect aggregate usage information rather than building advertising profiles. You can block or delete cookies at any time using your browser settings, and we explain how below.

We load Google Analytics through Cloudflare Zaraz, which runs the tag on Cloudflare’s network rather than shipping Google’s script to your browser. This reduces the data shared with Google and keeps the request first-party. Analytics loads on every visit.
How to opt out
You can prevent analytics collection in any of these ways:
- Block or delete cookies for this site in your browser settings.
- Use your browser’s private or incognito mode, which discards cookies when you close the window.
- Install Google’s official Analytics Opt-out Browser Add-on.
If you would prefer we delete analytics data associated with your visits, contact us using the details in section 10 and we will do so.
6. Who we share it with
We share personal information only with service providers who need it to do work on our behalf, and with authorities where the law requires it. We do not sell personal information, and we do not share it with third parties for their own independent marketing.

We may also disclose information to comply with a law, regulation, subpoena, or lawful request from aviation or law enforcement authorities; to enforce our agreements; or to protect the safety and rights of our passengers, crew, and company. If our business is sold or merged, information may transfer as part of that transaction.
7. Marketing email
We send marketing email only to people who have asked to receive it. Every message includes an unsubscribe link and our physical mailing address, and we honour unsubscribe requests promptly. Unsubscribing from marketing does not stop operational messages about a flight you have booked or a quote you have requested.
8. How long we keep it
- Quote requests and enquiries — [CONFIRM: e.g. 3 years from last contact].
- Newsletter subscriptions — until you unsubscribe, plus a record of the unsubscribe itself so we do not contact you again in error.

9. Security
We use HTTPS across the site, filter inbound email for threats, restrict access to personal information to people who need it, and rely on established providers for hosting and email. No method of transmission or storage is completely secure, and we cannot guarantee absolute security — but we take the protection of your information seriously and review our practices regularly.
10. Your choices and rights
Wherever you live, you may ask us to:
- Tell you what personal information we hold about you
- Provide a copy of it
- Correct anything that is wrong
- Delete it, where we are not required to keep it
- Stop sending you marketing email
- Stop non-essential tracking
We extend these choices to every visitor rather than only to residents of particular states or countries. To make a request, email hi@flywithaero.com. We may need to verify your identity before acting, and we will respond within 45 days. We will not treat you differently for exercising any of these rights.
11. Children
This website is intended for adults arranging air charter. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
12. Visitors outside the United States
We are based in the United States and market our services principally in the United States, Puerto Rico, Canada, and the Caribbean. If you contact us from elsewhere, your information will be transferred to and processed in the United States, where privacy laws may differ from those where you live. By using the site or contacting us, you understand that this transfer takes place.
If you are in a jurisdiction that grants you additional rights over your personal information, contact us and we will honour them to the extent they apply.
Canada
We market our services in Canada. If you are in Canada, our handling of your personal information is subject to the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, provincial privacy legislation -- including Quebec's Law 25, which grants additional rights over personal information. You may exercise the choices described in section 10 by contacting us. You may also complain to the Office of the Privacy Commissioner of Canada, or to your provincial privacy regulator.
13. Changes to this policy
We may update this policy as our services and tools change. The effective date at the top shows when it last changed. If we make a significant change to how we use personal information, we will make that clear rather than relying on a quiet edit.
